Alternative Login: Add Multiple Users

Upload multiple users who log in with a username instead of an email address

About alternative login uploads

Alternative Login allows administrators to add learners who do not have an email address by assigning them a username and temporary password. When uploading users in bulk, you must use a specific template designed for Alternative Login.

This feature is not available to all customers. Contact your Account Manager or Support if you do not see Alternative Login options in your account.

Start a user upload

1. Go to Users > Manage Users

2. In the top right corner, click Add New Users and select Upload New Users which is the top option

Prepare the user list template

Before uploading users, you must complete the correct user list template.

3. Download the User List Template.

    • Separate templates are available for users with email addresses and users without email addresses.
    • Select the template that matches how your learners will log in, then select Download Template.

4. Download the Legend to reference available fields and accepted values.

5. Complete the user list template with your organization’s data and save the file as a .CSV.

    • When using Alternative Login, Email is not required.
    • Username and Password fields are required.
    • Values must match Foundry exactly and are case sensitive.

If you are uploading a large number of learners, consider using the same temporary password for all users so it is easier to communicate along with the Login URL. Temporary passwords expire after 180 days, and learners are required to reset their password the first time they log in.

Upload and review users

6. Select Next to upload your file, then proceed through the remaining screens to complete the upload.

7. Go to Users > User Uploads to confirm that users were successfully imported and to review any rejected rows.

Note:
  • Organizations can upload learners with and without email addresses, but each login method requires a separate spreadsheet.
  • It is recommended to use a single login method across your organization whenever possible.
  • When using Alternative Login, administrators are responsible for communicating:
    • The Login URL
    • The username
    • The temporary password
    • Instructions for resetting the password after first login
