Preventing Duplicate Assignments

Understand why duplicate assignments occur and how Foundry prevents rework

In some organizations, learners may be assigned the same course by different administrators due to overlapping training plans, departments, or compliance requirements. This is a common and expected scenario, especially in larger organizations.

Foundry uses Training Periods to prevent learners from having to complete the same course multiple times unnecessarily.

How Training Periods prevent duplicate assignments

A learner can only have one active instance of a course per Training Period.

If a learner is assigned the same course again:

  • By a different administrator
  • Through a different assignment
  • Within the same Training Period

Foundry recognizes the existing course record and does not create a duplicate course assignment.

Learner experience

When duplicate assignments occur within the same Training Period:

  • The learner sees the course only once on the Learner Dashboard
  • The earliest due date from all assignments applies
  • The learner completes the course a single time

Reminder emails

  • Reminder schedules from each administrator’s assignment continue as configured
  • Due dates, content, and reminder cadence are not changed
  • If the learner clicks a reminder email, they are directed to the dashboard and still see only one course to complete

Administrator experience

From the administrator’s perspective:

  • If both assignments use the same Training Period, duplicate‑prevention logic applies
  • If different Training Periods are used, the learner will see separate course instances and must complete the course more than once

After assignments are created:

  • Each administrator sees the same learner progress reflected in their assignment tiles and reports
  • In the Assigned Learners tab, learners who were assigned the same course multiple times display an information icon (ⓘ) in the Participation column

To view details:

  1. Select View under Actions
  2. Open the learner’s profile
  3. Review which assignments include the duplicate course

Key takeaways

  • Duplicate assignments are common in multi‑admin environments
  • Training Periods prevent unnecessary duplicate course completion
  • Learners complete the course once per Training Period
  • Administrators retain visibility into progress across assignments
