Edit Custom Categories for Users in Bulk
Update categories and labels for multiple users at once
If you’ve made significant changes to Custom Categories or Labels, you may need to realign multiple learners to match your updated classification structure. Foundry provides several ways to update users in bulk, depending on how many users you need to change and how complex the updates are.
Edit multiple users with Upload‑to‑Update
This method is recommended when you need to update a large number of users or make multiple changes at once, such as updating categories, labels, locations, roles, or learner capabilities.
This is also the only way to add certain learner capabilities in bulk, such as adding the faculty/staff capability for existing student employees.
Before uploading:
- Go to Users > Manage Users
- Select Download Results to export a current list of users and their existing categories and labels

If you don’t have access to view or edit Categories and Labels, you’ll need to contact an administrator at your organization who has that permission.
Edit multiple users using a Quick List
Quick Lists are useful when you need to update a specific set of users and want to reuse that group across Foundry.
Use this method when:
- Users span multiple locations or labels
- You want to reference the same group later for assignments or reporting
Create a Quick List with the users you want to update, then apply that list as a filter in Users > Manage Users to make bulk changes.
Edit multiple users from Manage Users
This method uses the filters available on the Users > Manage Users page and is best when you want to update all users who share a common attribute, such as a label, location, role, or status.
Examples include:
- Updating everyone under a specific label
- Moving all users at one location to a new category
- Removing an outdated label from a filtered group
Apply filters to narrow the user list, select all relevant users, and make the update in one action.
Choosing the right method
- Use Upload‑to‑Update for large or complex changes
- Use Quick Lists for targeted, reusable groups
- Use Manage Users filters for broad updates based on shared attributes
