Scheduling Communications
Best practices for invitation and reminder timing
Overview
Scheduling communications helps ensure learners receive invitations and reminders at the right time without creating unnecessary noise. Invitations are sent when assignments begin, while reminders follow a set cadence that you can customize as needed.
Invitation Scheduling
Invitation emails are sent to learners when an assignment starts.
- For Quick Assignments, all learners receive the invitation on the Assignment Start Date
- For Automated Assignments, learners receive the invitation when they are added to the assignment
When creating an assignment, use the Scheduling section to:
- Select the invitation email template
- Set the assignment start date, which determines when invitations are sent
You can also choose to turn off invitation emails entirely so that Foundry does not send invitations for the assignment.
Reminder Scheduling
By default, assignment reminders are sent on the following schedule:
- Before the due date: Every other week on Monday
- After the due date: Every week on Monday
You can customize reminder timing when creating an assignment.
To customize reminders:
- Select the reminder template you want to use
- Set a cadence for reminders before the due date
- Set a cadence for reminders after the due date
- These schedules can be different
Administrators can also disable reminders entirely for an assignment.
Learners who complete all learning activities in an assignment will not receive reminder emails.
