Using Categories and Labels for Retraining
Learn how to organize learners for recurring training assignments
Overview
Many organizations require learners to complete recurring training on an annual or biennial schedule due to policy or regulatory requirements. While retraining cannot be fully automated in Foundry, using Categories and Labels strategically allows you to manage retraining with minimal effort after initial setup.
By organizing learners up front, retraining typically requires attention only once per year.
Recommended Assignment Structure
For recurring training, we recommend maintaining two types of assignments:
- A Quick Assignment for existing learners who need to complete retraining
- An Automated Assignment that captures new learners as they are added throughout the year
If you are setting this up for the first time, separate:
- Learners who already exist in Foundry
- Learners who will be added over time
This separation ensures each assignment targets the correct population.
Step 1: Create Categories and Labels
Start by creating a Category that represents your retraining cycle. Common examples include:
- Hire Year
- First Training Year
- Retraining Cycle
Each Label within that Category should represent a cohort of learners who will retrain on the same schedule.
As learners are added to Foundry, apply the appropriate Label based on their retraining cycle. In most cases, users added in the same upload will share the same Label, making this step easy to manage.
Step 2: Create Assignments
Once Categories and Labels are in place, create assignments on a recurring schedule that works for your organization.
Pro tip: For workplace training, choose a consistent time each year for retraining (for example, every March). This simplifies administration, sets clear expectations for learners, and often improves completion rates.
Cyclical Retraining for Existing Learners
Use a Quick Assignment to assign retraining to learners who are already in Foundry.
When selecting learners:
- Filter by the Labels associated with the retraining cohort
- Select all learners returned by the filter
- Complete the remaining assignment settings and launch the assignment
This approach ensures only the correct cohort receives retraining.
Automated Training for New Learners
After launching retraining for existing learners, create an Automated Assignment to capture new learners throughout the year.
When configuring automation:
- Select the Label that will be applied to new learners in this cohort
- Add any additional filters needed (for example, supervisor status)
- Review the summary to confirm the correct population is targeted
- Save and activate the assignment
This ensures new learners receive required training automatically.
